Project Overview and Role:

Trade Reform and
Development in Egypt (TRADE) is a USAID funded project, to increase Egypt’s
international trade by increasing exports from small and medium-sized
enterprises (SMEs), in the activity’s “selected sectors”. The TRADE Activity
will focus on certain sectors which are Engineering Products, Food Processing,
Home textiles, Ready Made Garments, Chemicals, and Building Materials
The TRADE Activity will achieve the following
three Results that are necessary for the contractor to reach the Activity’s
goal:

  1. Enhanced Export Capacity of SMEs, in particular New and Expanding Export- Ready Enterprises (NEEREs)[1] in the Selected Sectors;
  2. Strengthened Public and Private Trade-Support Institutions (e.g., Trade Associations, Export Councils, etc.); and
  3. Improved Trade and Investment Policy, Regulatory and Institutional Environment

TRADE is searching for a short-term consultant
to execute
the role of Event Manager for an Export Connecte event to take place o/a March
2021.

Period of Performance – 5 months
Level of Effort – 110 person days (from November 2021 to March 2022) or fixed price to be negotiated.

Background   
Export Connect (name to be
confirmed) is a one-day event jointly organized by USAID TRADE and GoGlobal, a
private consulting company. tentatively planned to take place the second week
of March 2022. Export Connect is a combination exhibition and
forum that will bring together exporters and exporters-to-be, service providers who can help them
increase or start their exports, and business associations and organizations
that can facilitate their export growth.

The event’s
vision is also to connect the export community with private sector service
providers and with donors who offer programs with an export development
mandate. Moreover, the event will include a forum alongside the exhibition
aiming at creating more awareness and offer knowledge among audience of SMEs
about specific hot topics and trends affecting exporters.

The event’s 1st edition theme will focus on
“The Exporters’ Journey” and on private sector service providers. Sectors of
focus will be those of USAID TRADE and include:

  • Food Processing
  • Engineering industries
  • Building Materials
  • Chemicals
  • Ready Made Garments
  • Home Textile

The objective of this task is to hire a Short
Term consultant to direct, manage and execute the forum and exhibition successfully.

Activities
The consultant is expected to conduct the following
activities:

  • Review and make any adjustments to the execution plan for the event (both forum and exhibition), including timeline, budget, and responsibilities
  • Help the Steering Committee finalize the general conference theme and session topics
  • Prepare and manage the one day conference agenda in collaboration with the Steering Committee
  • Prepare each session topic and assign International/ Specialized speakers in collaboration with the Steering Committee
  • Contact speakers to confirm their participation
  • Collect list of confirmed speakers, bios, and conference materials
  • Prepare evaluation forms for conference
  • Manage the day-to-day relationship and activities with external vendors and event partners including venue, equipment, materials, branding, advertising, digital marketing, etc.
  • Manage the identification and sale of sponsorships and exhibition booths to potential clients, in collaboration with GoGlobal and USAID TRADE, including arranging and joining appointments with potential sponsors
  • Manage the execution and organization of the event itself including forum and exhibition in alignment with the plan
  • Liaise/interact/collaborate/meet with other staff of USAID TRADE and GoGlobal on an almost daily basis to keep project implementation on track
  • Coordinate in particular with USAID TRADE’s Communications Manager to ensure appropriate and compliant USAID visibility, branding, and marking
  • Report at minimum weekly to the Steering Committee
  • Send letters of appreciation to speakers, sponsors, and other partners after the event and email post-event survey to conference attendee
  • Produce a brief report upon successful conclusion of the event

The consultant will report to the
Steering Committee of the project and work closely with GoGlobal, which co-chairs the Steering Committee.

Deliverables

  • Successful implementation of the Export Connect forum and exhibition
  • Brief post-event report

Required Qualifications:

 Technical

  • Minimum 7-10 years relevant experience in organizing high level events (i.e. training, workshops, meetings, forums, exhibitions, etc.) and administrating its paperwork
  • Experience in liaising with government and international organizations
  • Familiarity with USAID rules and regulations preferred
