Position Title: 
Executive Coordinator 

Reports to: To Executive Director 

 Location: Liberia 

 

Position Overview: 

The Executive Coordinator will provide high level administrative support to the Executive Director (ED) of Partners In Health, Liberia including scheduling meetings, planning trips, briefing the ED in advance of meetings, and prioritizing requests. Working closely with the Leadership Team, the Executive Coordinator will facilitate an efficient Executive Office. This role is a great fit for someone with exceptional interpersonal skills, superior attention to detail, and organizational skills who would like to learn more about organizational management and the strategic priorities of the Executive Office. This role will also be an excellent learning opportunity for someone who wants to understand the complex array of front line implementation activities required for successful application of global health service delivery. 

 

Responsibilities: 

Strategic Coordination 

  • Monitor and track projects and tasks, ensuring attention to time-sensitive issues and longer-term initiatives, and providing succinct background information as needed.
  • Support the Leadership Team to communicate decisions made to staff and key stakeholders.
  • Lead key strategic projects including those related to organizational communication, efficiency, and cross-team coordination.
  • Help the ED research and evaluate strategic initiatives and write reports with recommendations.
  • Draft official and unofficial correspondence for the ED’s review and approval.
  • Meet at least weekly to coordinate priorities, review scheduling and agree on next steps.
  • Provide other general administrative support as needed.

Relationship Management 

  • Play a leading role in supporting the ED to host high profile visits, working closely with clinical and operations teams to plan agenda and logistics.
  • Maintain an up-to-date list of requests made of the ED and ensure completion of items with great care, follow through and attention to detail.
  • Represent the Executive Director at selected meetings and prepare meeting summaries.
  • Create thorough briefings and background documents for ED in advance of important meetings when needed.
  • Be responsible for heavy calendar management and coordination of schedules.
  • Complete all travel logistics and itineraries for the ED, facilitate preparation for and execution of travel, and prepare expense reports.
  • Work with the Leadership Team to provide accompaniment and support to external visitors as/when needed.
  • Support the ED with writing, editing, and presentations.
  • Draft follow-up correspondence for the ED’s review and approval.

Leadership Team Accompaniment 

  • Assist in the preparation, execution, and follow up of Leadership Team meetings, including creating agendas, preparing thorough briefings, providing relevant documents including minutes and reports, and monitoring and tracking next steps and outcomes.  
  • Assist with cross team collaboration and coordination to promote effective communication and efficiency between PIH staff, Senior Management Team and Executive Leadership Team 
  • Support with special projects and initiatives as needed, especially across teams. 

Qualifications: 

  • Bachelor’s Degree required. 
  • Professional experience (2 years minimum) providing administrative support in fast-paced office setting; experience with budgeting, grant writing, and/or coordinating international travel preferred. 
  • Experience working or living in resource poor settings preferred. 
  • Demonstrated competence in assessing priorities and managing a variety of activities in a time-sensitive environment and meeting deadlines with attention to detail and quality. 
  • Ability to work with little to no supervision, take initiative and anticipate needs. 
  • Strong communicator both orally and written. 
  • Exceptional interpersonal skills including ability to interact professionally and respectfully with culturally diverse staff and partners. 
  • Organizational skills and superior attention to detail. 
  • Demonstrated interest in global health and social justice. 
  • Demonstrated maturity, flexibility, judgment, professionalism and diplomacy. 
  • Demonstrated humility, confidentiality and respect of established values of the organization 
  • Must be proficient in Microsoft Office and Outlook. 
  • Willingness to live in a resource-limited setting and to travel to remote locations as needed. 
  • Ability to live in Liberia full-time. 
  • Exemplary interpersonal skills; ability to collaborate effectively with culturally diverse staff across departments and country. 
  • Interest in social justice strongly desirable.
