Reporting to the Assistant Manager, the Scheduler/Dispatcher is responsible for ensuring that service coordination related to or between clients, community partners, co-workers and Transportation Program are provided in accordance with the Red Cross’ mission statement, established policies and procedures, relevant legislation, government guidelines and any contractual requirements within the Community Health & Wellness Department.

RESPONSIBILITIES

Provides client/driver service coordination on a daily basis.
Develops and distributes client/driver service schedule and informs drivers via fax or telephone of changes to schedules.
Receives notification from drivers of factors affecting re-assignment of clients.
Receives routine referrals/intake information from Funders and private clients.
Assesses availability and appropriateness of drivers for routine assignment referring to service agreements and contracts, policies and procedures.
Reports any unresolved service coordination difficulties to the Supervisor, Transportation as appropriate.
Enters all relevant client and driver information (both live and recorded) into the Client Information Management System (CIMS).
Enters service hours and adjustments to the system for both the client and driver.
Verifies integrity of data and makes corrections as necessary.
Produce schedules and reports on a regular basis, and upon request of the Supervisor, Transportation.
Records all communications and consequent actions in appropriate fields/locations.
Communicates regularly with clients/caregivers, drivers, funders and various Red Cross departments (i.e. Accounting, Human Resources, Information Technology).
Provide reports to appropriate professionals regarding client and driver status.
Provide support and general direction to drivers, as appropriate.
Receive concerns from clients and drivers with regards to scheduling practices and re-directs to appropriate professional.
Advises Supervisor, Transportation of existing and anticipated staffing requirements.
Documents all communications and subsequent actions in appropriate field/location within CIMS.
Performs other duties as required.

 
QUALIFICATIONS
The minimum qualifications for this job are one to two (1-2) years of post secondary education and one to three (1-3) years of job-related work experience, or an equivalent combination of education and experience.
Abilities and Skills

Excellent verbal and written communication skills.
Customer Service experience is an asset.
Ability to multi-task and prioritize work flow.
Experience in a fast-paced and team oriented environment.
Knowledge of medical terminology is an asset.
Ability to work non-traditional hours, including participation in a rotation for statutory holidays.

 
WORKING CONDITIONS
Hours of service are based on 35-hour work weeks, Monday to Friday. The majority of the work is performed in an environment which is mostly clean and comfortable, at the Simcoe County Office of the Canadian Red Cross in Barrie.
Please note that there is no relocation package for this position.
