PATH’s Global Health Security portfolio within the Health Systems Innovation and Delivery (HSID) program leads several projects and initiatives that serve the Global Health Security Agenda and aim to strengthen global capacity to prevent, detect, and respond to infectious disease threats. These include the five-year, Centers for Disease Control (CDC)-funded Global Health Security Partnership (GHSP) project, the USAID Infectious Disease Detection and Surveillance (IDDS) project, and the Fleming Fund-funded project on antimicrobial resistance.
HSID is currently recruiting a Senior Program Assistant to support the CDC funded Global Health Security (GHSP) project, which focuses on preventing, protecting, and responding to infectious diseases globally. This position will be responsible for providing project management, administrative, and logistic support to GHSP operations and business development activities.
Specific responsibilities include:
Serve as the primary point of administrative contact and liaison for the Project Director.
Assist program teams in distributing and filing correspondence containing complex and confidential communications to internal and external contacts. Where appropriate, draft responses or triage queries or issues to other team members for response. Ensure timely flow of information and materials.
Coordinate and support monthly project tracking updates and quarterly reporting process with global teams. track donor and programmatic project management outputs such as work plans, milestone trackers, dashboards, and timelines.
Support institutional reporting or review processes for both internal and external facing documents and presentations.
Assist in the coordination and development of large documents including proposals, reports, tables, basic graphics, and PowerPoint presentations.
Provide administrative support for the global GHSP team across time zones in the US, Africa, and Asia, including scheduling meetings, preparing agendas, recording meeting minutes, tracking action items, maintaining organization of shared folders, and assisting team members as needed.
Assist with drafting project messaging, including fact sheets, capacity statements, and corporate value propositions; proofread project documents as needed.
Organize travel arrangements for the project Director, other PATH staff, PATH consultants, and submit subsequent travel expenses.
Catalog and manage reference documents, literature, and publication resources for team use.
Maintain internal team information pages, ensuring that all content is up to date and formatted correctly.
Contribute to internal and external communications materials, including blog posts, articles, webinars, etc.
Manage the seasonal internship program that the GHSP team hosts.
Contribute independent research and summarize key information from PATH systems for business development proposals.
Provide administrative support to the activities of the Epidemic Preparedness & Response/Global Health Securities Initiative Health Impact Team (EPR/GHSI HIT).
Bachelor’s degree, plus a minimum of 2 years of related administrative experience or an equivalent combination of education and experience.
Proven success in managing several priorities under tight deadlines.
Proficiency in application of the Microsoft Office suite, including Word, PowerPoint, and OneNote.
Proven ability to think creatively to help organize information, manage workflow, and improve systems and processes.
Detail-oriented, with the ability to communicate effectively both orally and in writing.
Ability to be pro-active and show initiative while working both independently and collaboratively in a team environment.
Demonstrated experience formatting and proofreading complex technical documents.
Strong interpersonal and organizational skills.
Fluency in English, including excellent written and oral communication skills required.
Business proficiency in French, written and/or oral, a plus.
Proficiency in using Box for file storage and knowledge management a plus.
Experience assisting business development activities preferred.
Experience supporting complex project management activities preferred.
Prior experience working in international non-governmental/non-profit sector a plus.
Must have legal authorization to work in the United States.
