Project Overview and Role:

The Pacific Labour Facility (PLF)
facilitates seasonal and longer-term work opportunities for Pacific workers in
Australia. It connects Australian employers with Pacific workers, supports
the administration of the Pacific Labour Scheme and provides targeted support
to the Seasonal Worker Programme.

You will support the day-to-day
operations of the PLF team, including domestic and international travel
arrangements, financial management tasks, procurement, administration, office
management and HR related tasks such as leave management. 

Primary Duties and Responsibilities: 

  • Support the management of the PLF Brisbane office, including:

– Asset management
– Managing PLF stock of stationery and materials
– Orientation support and visitors (including DFAT counterparts and delegations from the Pacific)
– Administration of leave and payroll tasks.

  • Maintain digital filing system, office supplies track record, databases of contacts, office utilities usage, etc.
  • Ensure that office and program procurement is compliant with Commonwealth Procurement Rules and Palladium policies, including obtaining competitive quotations, preparing procurement records and documents, and maintaining asset registers
  • Undertake reception duties as required, such as answering the phone, managing room bookings, taking minutes of meetings, and supporting visitors to the office
  • Support the administration team in the efficient management of the office, including ensuring the office space and kitchen is clean and tidy.

Required Qualifications:

It is essential that you
have excellent attention to detail, ability to work to a range of deadlines,
and experience operations
or administration, especially in support of a large team or organisation.

This role will provide you with the opportunity
to work across a diverse range of stakeholders, so it is important you have
good interpersonal
skills, including in a cross-cultural context. 

Key personal skills and attributes you must tick:

  • Proven track record in office management systems and procedures
  • High level proficiency in Word, Excel, PowerPoint and web browsers
  • Ability to work to deadlines, and to balance competing priorities.

Due to the evolving nature of our program, it is possible that an Adviser may be expected to undertake duties that fall outside the remit of their original Terms of Reference to ensure the ongoing success of the program. Where this is required, it will be on the basis that:

  • The adviser has the skills and experience to fulfill the duties
  • The arrangement will be short term in nature

The Program Officer position is classified at A1 under the DFAT Aid Adviser Remuneration Framework (ARF). The successful candidate will be offered an initial contract to 30 June 2023.

You must have valid Australian work rights to be considered for this position – visa sponsorship is not available for this position.

This is a Brisbane based role. Candidates who are willing to relocate for the position must do so at their own expense as no relocation package is available.
