This Opportunity:
Palladium’s Washington, D.C. office seeks an Executive Associate, to lead various administrative, organization and executive management activities in collaboration with the General Counsel, the Director, Risk Management, and the Legal Lead. In addition to executive support, s/he will be responsible for supporting a variety of corporate services and activities and coordinating inputs across teams.

Reporting and Supervision:
The role reports to the assigned the General Counsel, the Director, Risk Management, and the Legal Lead. Reporting requirements include:
Provision of regular updates to the line manager, including updates on Key Result Areas (KRAs) and any other material matters and/or areas of concern
Other reporting as requested by the line manager
The role liaises with internal clients, technical area specialists, corporate services, professional service providers, and other stakeholders as required
The role carries a degree of autonomy with appropriate consultation. The role is required to:
Analyze and make sound recommendations to the line manager
Contribute to process improvement through innovative and cost-effective proposals/ideas/suggestions
Primary Duties and Responsibilities:
Plan and execute executive assistance support to the General Counsel, the Director, Risk Management, and the Legal Lead in a variety of communication, organizational and management tasks; including but not limited to administrative and executive assistance support
Serve as the primary coordinator and point of contact for the General Counsel, the Director, Risk Management, and the Legal Lead with strategic events planning, including outreach to key stakeholders
Manage communications from the General Counsel, the Director, Risk Management, and the Legal Lead, including news briefs and important announcements
Propose and implement continuous improvements to our working environment, in collaboration with the Culture Committee and Sustainable Business Teams
Ensure our offices reflect Palladium’s values and initiatives in environmental sustainability and safeguarding
Manage calendars and scheduling for General Counsel, the Director, Risk Management, and the Legal Lead as requested; maintain master calendar of all Partnership events and activities to better coordinate scheduling across teams
Organize and distribute correspondence including mail, packages, or other items for the General Counsel, the Director, Risk Management, and the Legal Lead
Serve as a point of contact for all staff to obtain signatures and approvals from General Counsel, the Director, Risk Management, and the Legal Lead as requested
Handle issues of a sensitive nature and maintain confidentiality and discretion
Manage travel, accommodation, and visit logistics for General Counsel, the Director, Risk Management, and the Legal Lead, visiting leadership team members, or other very important guests as required
Prepare travel expenditure for reimbursement, review, verify and adjudicate travel expenditures submitted to General Counsel, the Director, Risk Management, and the Legal Lead for authorization
Provide advanced administrative, audio visual, IT related and logistical management support to carry out meetings and other events, including:
Budgeting, financial management, and analysis of costs
Researching and analyzing data to prepare documents and presentations for review
Managing scheduling, meeting room reservations, invitations
Coordinating catering orders, room set up and clean up, and facilities needs
Overseeing preparation and dissemination of agendas, information, and after event notes to attendees
Draft announcements, correspondence, and other written materials, and provide quality assurance in reviewing them for clarity, copy editing, and accuracy
Develop and support internal systems for coordination and management of all assigned activities
Maintain accurate and up-to-date electronic and paper filing systems
Provide other assistance to General Counsel, the Director, Risk Management, and the Legal Lead and Business
Management Support teams as required
Key Competencies Required:

Excellent interpersonal skills and demonstrated ability to interact professionally with culturally diverse staff, clients, and consultants
Demonstrated ability supporting executive management and communications is required
Interest in gaining exposure to working for USG-funded projects in international development
Prior experience with customer service in any business setting is required
Understanding of Project Management and experience using project coordination software such as Microsoft Teams
Proficiency working with Excel, PowerPoint, Word, other Microsoft suite products as well as use of social media channels (Linked in, Twitter etc)
Proven ability to work on multiple activities/projects simultaneously and adapt to new work priorities as they change
Demonstrated ability to learn from prior experiences and adapt/improve processes, work, and communications accordingly
Detail-oriented and deadline-driven with exceptional organizational skills is required
Advanced critical thinking, problem solving and decision-making skills
Excellent written and verbal communication skills
Highly self-motivated and able to work independently as well as in team settings
Ability to be flexible and adapt to changing priorities and timelines
Proficiency in international languages is desirable
