Background: The Feed the Future Ag Diversification Activity is a seven-year project that contributes to USAID/ Malawi’s Feed the Future goal of sustainably reducing poverty and stunting in eight districts of central and southern Malawi. The activity fosters inclusive and sustainable growth of Malawi’s agricultural sector. The activity seeks to improve the nutritional status of women and children under five through a proven nutrition sensitive approach of layering agriculture and nutrition behavior change interventions in rural communities, while increasing the competitiveness of high value, nutrient-rich value chains through support for agricultural enterprises and increased access to markets and finance.
Objectives: The Grants Officer will work closely with and support the Grants Manager in the execution of grants and subcontracts for the activity.

Duty Station: Lilongwe, Malawi
Reporting: Grants Manager

Key responsibilities:
Scheduling and organizing regular grant and subcontract meetings-both in-house with Technical and Operations teams and external with grantees.
Ensuring that grant and subcontract implementation for all Ag Div Grants are in compliance with USAID and Palladium policies and procedures.
Undertaking cost analysis of grantee budgets including analyzing cost and budget data contained in applications, funds request and justification to ensure that all costs are allowable, allocable, necessary and reasonable.
Updating on a monthly basis the Grant Tracking System including reviewing grant recipient reports and documentation ensuring compliance with Grant Agreement terms and conditions to ensure timely and correct execution of all grant agreements.
Preparing grant milestone payment requests including all required paperwork for the payment processing.
Maintaining open and effective communication with grant recipients to ensure smooth administration of all grants including identification and management of progress bottlenecks.
Organizing Pre-Award Events such as Evaluation Surveys, Coaching Clinics and meetings between Ag Div and potential grantees.
Liaising with technical teams as required throughout the grant management cycle.
Drafting grants related program documents.
Maintaining an up-to-date grants tracker with all grant expiry dates and requesting/coordinating grant modifications as necessary
Working on additional assignments in accordance with the needs of the Activity

Required Qualifications:

Minimum of bachelor’s degree in Accounting, Business Studies, Social Science, Development Studies, International Development with at least 7 years of experience in Development
Management with a strong leaning on grant and subcontract management or other relevant fields.
Minimum of 5 years of experience managing grants under contract and subcontracts for donor organizations. Experience with USAID grants and subcontracts management system highly preferred.
Experience with Fixed Amount awards, Firm Fixed Price contracts and price and cost analysis is highly preferred.
Excellent interpersonal and leadership skills, including an eye for detail, ability to manage large budgets and client expectations.
Strong interpersonal skills required for working with technical project staff and beneficiaries.
Demonstrated ability to work under pressure with limited guidance and strict deadlines yet deliver high quality products.
Excellent communication skills are essential to write effectively and persuasively and be able to present information in a variety of settings and formats to diverse clients and project stakeholders.
Professional fluency in English required.
