Overview of team:
CHAI’s global malaria program provides direct technical and operational support to countries around the globe to strengthen their malaria programs and reduce the burden of this preventable, treatable disease. We support governments to scale up effective interventions for prevention, diagnosis, treatment, and surveillance, with the goals of sustainably reducing the number of malaria-related illnesses and deaths worldwide in the short-term and accelerating progress towards malaria elimination in the long term.
Overview of role:
CHAI is seeking a highly motivated individual to work as Program Coordinator to provide operational support to CHAI’s global malaria team. This position will ensure smooth programmatic operations through coordination of administrative processes and effective oversight of internal procedures and policies. A successful candidate will be highly motivated and hard working with exceptional organizational, problem-solving, and communication skills. This position will report to the program’s Director of Operations.
Responsibilities
Act as first point of contact on the team for administrative and operational questions
Work closely with staff at CHAI headquarters on matters relevant to the global malaria team
Assist and track recruitment efforts, and proactively flag delays
Develop and maintain onboarding materials, coordinate equipment procurement, and lead onboarding for new staff
Coordinate off-boarding processes and equipment handover
Manage team calls, including preparing the agenda, taking notes, and tracking follow-up action items
Maintain knowledge management platform for the team
Maintain and periodically disseminate up-to-date internal policies and guidelines
Support planning and execution of meetings, including identification of venues and coordination of all travel and meeting logistics
Coordinate drafting, reviewing, and signing of partner agreements and contracts
Process partner invoices and monitor spend and budgets
Maintain and promote the internal digital workspace
Maintain team distribution lists, staff records, organizational charts, and other relevant databases
Maintain and distribute up-to-date analytics software licenses
Assist in donor reporting coordination
Assist in tracking progress against team goals
Any other tasks identified
Qualifications
Bachelor’s degree and minimum of 2 years of professional experience required
Exceptional written, oral, interpersonal and organizational skills
Ability to think strategically and anticipate future consequences and trends
Ability to work well both independently and as part of a multidisciplinary and remote team
Strong work ethic, integrity, credibility, and dedication to CHAI’s mission
Ability to be effective, calm, and flexible in high-pressure situations, to handle multiple tasks simultaneously and to effectively prioritize
Ability to communicate effectively with multiple stakeholders from varied professional and cultural backgrounds
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
Experience working in an international context and/or entrepreneurial environment
Ability to travel 10-15%
