Position Overview
The Campaign Coordinator provides coordination, project administration, logistical, operational, and fundraising support to the United Nations Foundation’s Shot@Life campaign – a U.S. advocacy campaign that mobilizes federal and private resources in support the global childhood immunization work of UN partners.
The Campaign Coordinator reports to the Shot@Life director and works in some capacity with all members of the campaign team and many core support teams across the United Nations Foundation.
The position is based in the UN Foundation’s Washington, DC office.
Essential Functions
Cross-Campaign Support
Assist with cross-campaign project administration as needed, including the tracking of progress towards strategic goals.
Assist with campaign event logistics, coordinating and processing contracts with virtual and in-person event vendors and partners.
Support event set-up, implementation, and breakdown.
Procure, gather, and ship materials for conferences and events as necessary.
Manage the campaign’s inventory of materials and swag.
Track supply and usage of materials, order/replenish as needed.
Distribute materials as instructed by Shot@Life team members.
Provide administrative support for campaign team, including, but not limited to:
Assist with briefing notes and meeting notes as directed.
Help keep the campaign’s electronic and paper files organized and complete.
Schedule and coordinate team meetings and set agendas.
Support the planning and implementing team morale-building moments; Responsible for marking staff birthdays and significant life events, ordering food for select meetings and occasions, etc.
Budget and Contract Management
Assist with processing of Shot@Life’s budget, contracts, agreements, and grants across the campaign.
Work with UN Foundation contracts, business services, and finance teams to track and categorize expenses, process bills and invoices in a timely manner, monitor disbursements and troubleshoot as needed.
Support team contracting needs, including contracts with vendors, consultants, organizational partners, honorariums, and travel grant “letters of intent” for grassroots champion event participants in the spring and fall each year.
Maintain working knowledge of the UNF agreement process (for both contracts and grants), and when to utilize the proper templates accordingly. (As applicable to the role)
Draft and review agreements and maintain an understanding of all agreement terms and applicable flow-downs, consulting with UNF’s finance/contracts team as needed. (As applicable to the role)
Attend training sessions provided by UNF’s contracts team to maintain and keep up to date with UNF’s current policies and procedures. (As applicable to the role)
Maintain a strong knowledge of UNF’s Salesforce database to be able to process and track agreements, extract information and prepare reports. (As applicable to the role)
Administrative Support for Campaign Directors
Provide administrative support for Shot@Life director:
Coordinate travel arrangements and logistics.
Process expense reports.
Organize meetings and conference calls, taking minutes as needed.
Prepare, finalize, and distribute internal and external correspondence.
Keep director’s electronic and paper files organized and complete.
Provide administrative support for Shot@Life executive director:
Coordinate travel arrangements and logistics.
Process expense report.
Fundraising Support
Support Shot@Life’s fundraising platform and marketing efforts as needed.
Maintain campaign’s individual donor records in Salesforce and EveryAction, ensuring they are up-to-date and tagged for segmentation by donor type.
Support the campaign’s individual fundraising efforts, with general (“grassroots”) supporters, trained champions who are members of advocacy org partners (such as the General Federation of Women’s Clubs), and high net worth individual donors.
Support development operations, including, but not limited to, tracking fundraising numbers, monitoring donations in real-time, preparing fundraising components of quarterly and seasonal fundraising reports, and drafting donor communications such as thank you letters.

Selection Criteria
Bachelor’s degree required.
Minimum 1 year of related professional experience.
Advanced knowledge of and experience with MS Office Suite (Word, Excel, Outlook, PowerPoint).
Strong organizational and database management skills.
Strong communication (listening and speaking) skills; professional-level writing skills; and strong attention-to-detail.
Can-do attitude; open and flexible; diplomatic; team player.
Ability to multi-task and juggle many projects
Ability to develop and maintain effective working relationships with people from a wide variety of backgrounds, organizations, and functional expertise.
Pro-active, self-starter, with the ability to think several steps ahead.
Quick learner with the ability to synthesize information.
Ability to meet regular attendance/tardiness policy.
Ability to work under pressure and handle stress.
Experience developing written materials (correspondence, analyses, reports, talking points, etc.) for senior leaders and external audiences preferred.
Experience with database programs such as Salesforce, EveryAction, and Classy preferred.
Familiarity with global health, international development, and/or the United Nations preferred.
Previous grant and contracts experience preferred.
