Reports to: Chief of Staff
Location: Boston, MA or remot e with 10% travel required
Employment Type: Full Time
Position Overview:
The Executive A ssociate for the Office of the CEO is an integral member of the Office of OnePIH and works in close partnership with CEO and Chief of Staff to execute organizational priorities. Th is individual is responsible for providing strategic thought partnership, priority management, and oversight of the daily functions of the CE O. The Executive Associate must exhibit strong judgement, diplomacy, discretion, as well as superb administrative and organizational skills as this individual will represent the CE O and the organization with a diverse range of people internally and externally . This role presents an opportunity to work collaborative ly across teams and to lead various projects in service to a global organization that is relentlessly committed to improving the health of the poor and marginalized.
Responsibilities:
Priority Management & Oversight ( 4 0 %)
Manage priorities for the Chief Executive Officer (C E O) across their role and optimize their time based on those priorities given competing requests and demands
Triage high-level and/or confidential information as needed using individual discretion and judgment ; act as an init ial point of contact for the CEO
Manage travel pri orities and logistics for the CE O, including accompaniment as needed for high-priority trips and meetings
Prepare communications on behalf of the CEO and ensure that all materials, presentat ions, and correspondences of the CEO reflect priorities, personal and organizational voice, and key messaging points
Set and manage effective boundaries for the CEO in alignment with organizational priorities using independent discretion and intrapersonal skills
Relationship Management ( 20 %)
R epresent Partners In Health and the CEO in a thoughtful and respectful manner when interfacing both internally and externally
Maintain a deep understanding of organizational strategy and priorities and cultivate the ability to communicate them to staff, partners, and stakeholders
Serve as primary point of contact for the CEO , including with donors and external partners
Steward relationships across the organization with tact and diplomacy and use creative problem-solving techniques
Draft , approve, and disseminate communications to staff, donors, and partners in collaboration with the Internal Communications Manager
Serve as a key communicator and relationship manager with Board Members, including preparing content for quarterly meetings
S erve as a proxy for the CEO in meetings where appropriate , representing PIH priorities
Project Management ( 20 %)
Manage planning and execution of strategic initiatives and s erve as co ntributor fo r tasks or deliverables under CE O purview/scope of work alongside the Chief of Staff
E nsure deadlines and milestones are met on targets with internal and external stakeholders
Monitor and track projects and tasks, ensuring attention to time-sensitive issues and longer-term initiatives, providing succinct background information when needed
Disseminate decisions made by Office of CEO and facilitate implementation of those decisions with appropriate stakeholders across the organization
Manage all financials for CE O, including reimbursements, receipt management and collection, dra fting and submission of CEO’s cor porate credit card statements, and invoice management
Manage and disseminate “OnePIH Update” newsletter from the Office of the CEO
Strategic S upport ( 20 %)
Serve as primary thought partner to the CE O in d aily functions, highly sensitive contexts , and organizational priorities
Escalate strategic challenges to the CEO and Chief of Staff as needed, using independent discretion and judgment
Carry ou t the strategic priorities of the Office of the CEO through effective communication and project management
Develop core talking points and overarching messaging for CEO speaking engagements
Qualifications:
5 + years of experience and Bachelor’s degree or equivalent experience required.
Ability to work independently and take initiative; must be a quick learner, able to multi-task and easily adapt to changing circumstances
Superior organizational skills and attention to detail and quality
Ability to assess and manage a variety of competing priorities in a time-sensitive environment while meeting deadlines with utmost professionalism
Excellent writing and copy-editing skills; enthusiasm for writing required
Ability to effectively work on a team in a complex, fast-paced environment
Computer skills in word processing, database and spreadsheet programs; proficiency in Microsoft Office applications , particularly PowerPoint
Exemplary interpersonal skills; ability to collaborate effectively with culturally diverse staf f across coordination site departments and care delivery and university sites.
Interest in social justice strongly desirable
Demonstrated maturity in handling confidential and sensitive information ; ability to use sound judgement and strategic thinking in ambiguous contexts with limited information
Ability to create team and organizational systems to solve recurring problems
Commitment to mastering a comprehensive understanding of the goals and objectives of PIH and the Office of the CE O
